By creating an account or using Tournament Master you agree to these Terms.

1. Account Responsibility

You are responsible for maintaining the security of your account credentials and for all activity under your account.

2. Acceptable Use

  • Do not attempt to disrupt or harm the platform or other users.
  • Do not submit false information during registration or tournaments.
  • 3. Data Protection

    Your personal data is processed in accordance with our Privacy Policy and the Zambia Data Protection Act, 2021. By creating an account, you confirm that you have read and agree to the Privacy Policy.

    4. Minors

    Participants under the age of 18 may only register for tournaments with the consent of a parent or legal guardian, as described in our Privacy Policy.

    5. Payments

    Registration fees are processed by our third-party payment providers (Stripe and/or Lenco). Refunds are subject to each tournament organiser's stated refund policy.

    6. Intellectual Property

    All Tournament Master branding, software, and design remain the property of the platform owner.

    7. Limitation of Liability

    We are not liable for damages arising from platform downtime, data loss, or third-party integrations.

    8. Governing Law

    These Terms are governed by the laws of the Republic of Zambia.

    9. Changes to Terms

    We may update these terms at any time. Continued use of the platform constitutes acceptance.

    Tournament Master ("we", "us", "the Platform") is committed to protecting your personal data in accordance with the Zambia Data Protection Act, 2021 (Act No. 3 of 2021) and other applicable data protection laws.

    1. Who We Are

    Tournament Master is the data controller for personal data processed through tournamentmaster.space, organizer.tournamentmaster.space, and our mobile applications.

    2. Information We Collect

  • Account information: name, email address, phone number, profile photo, and role (fan, organizer, participant) — collected via Clerk authentication.
  • Tournament & match data: tournaments you create, join, or follow; team memberships; match results and statistics.
  • Registration details: full name, email, phone, date of birth, jersey number, position, and any custom fields an organiser requests when you register for a tournament.
  • Payment information: processed by our payment providers (Stripe and/or Lenco) — we store transaction references and amounts, never full card numbers.
  • Usage & device data: pages visited, actions taken, browser/device type, and IP address — collected for analytics and security only with your consent (see Section 7).
  • Support communications: messages you send to our support team or live chat.
  • 3. Lawful Basis for Processing

    We process your personal data on the following bases:

  • Contract — to create your account, run tournaments, and process registrations and payments.
  • Consent — for marketing communications, analytics/tracking cookies, and processing children's data (see Section 6).
  • Legitimate interest — to keep the Platform secure, prevent fraud, and improve our services.
  • Legal obligation — to comply with tax, financial, and regulatory requirements.
  • 4. How We Use Your Information

  • To operate the Platform: create accounts, run tournaments, generate brackets, and process registrations.
  • To send transactional notifications (registration confirmations, match reminders, score updates).
  • To process payments and payouts to organisers.
  • To feature highlights and media — only with your consent.
  • To improve the Platform through aggregated analytics.
  • We do not sell your personal data to third parties.
  • 5. International Data Transfers

    Some of the services we use to operate the Platform are located outside Zambia. When we share your personal data with these providers, it may be transferred internationally. We only do this where the recipient country offers an adequate level of protection, where you have consented, or under another lawful transfer mechanism (e.g. contractual safeguards), as required by Sections 48–50 of the Act.

    We require all sub-processors to implement appropriate technical and organisational security measures.

    6. Children's Data

    Some tournaments allow players under 18 to register. Where a participant's date of birth indicates they are under 18, we require the consent of a parent or legal guardian before processing that participant's data, in line with the special protections for children's data under the Act. Guardian contact details are collected for this purpose and used solely to obtain and record that consent.

    7. Cookies & Analytics

    We use cookies that are strictly necessary for the Platform to function (e.g. authentication sessions). Analytics and session-replay tools (PostHog, Sentry) are only activated after you give consent via the cookie banner. You can withdraw this consent at any time by clearing your cookies or changing your choice when prompted again.

    8. Data Retention

  • Account data: retained while your account is active, and deleted (or anonymised) when you delete your account — see Section 10.
  • Payment records: retained for 7 years to meet financial record-keeping and tax obligations, even after account deletion (anonymised).
  • Audit logs: retained for 12 months for security purposes.
  • Support tickets: retained for 24 months.
  • 9. Your Rights

    Under the Zambia Data Protection Act, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erase your data ("right to be forgotten") — delete your account at any time from Settings.
  • Restrict or object to certain processing.
  • Data portability — download a copy of your data in a machine-readable format from Settings → Download My Data.
  • Withdraw consent at any time where processing is based on consent.
  • Lodge a complaint with the Office of the Data Protection Commissioner (ODPC) of Zambia if you believe your rights have been violated.
  • To exercise any of these rights, contact us using the details in Section 11.

    10. Account Deletion

    You may permanently delete your account at any time from Settings → Delete Account. Deleting your account removes your profile and personal data; some records (e.g. financial transactions) are retained in anonymised form as required by law.

    12. Changes to This Policy

    We may update this Privacy Policy from time to time. Material changes will be highlighted on this page, and continued use of the Platform after changes take effect constitutes acceptance of the updated policy.

    Expected Behaviour

  • Treat all participants, organizers, and staff with respect.
  • Accept results gracefully — celebrate wins humbly, lose with dignity.
  • Report technical issues through proper channels, not by disrupting matches.
  • Prohibited Behaviour

  • Cheating, score manipulation, or use of unauthorised tools.
  • Hate speech, harassment, or threats of any kind.
  • Impersonating other users or platform staff.
  • Reporting

    If you witness a violation, contact support@tournamentmaster.com with evidence. All reports are confidential.

    Consequences

    Violations may result in warnings, temporary bans, or permanent removal depending on severity.
